Tips For Annual Meetings: How To Get A Crowd

TipsDoes your community have its annual meeting planned? Are you wondering how to get your members there? We have compiled four simple tips to help increase your association attendance at this coming years annual meeting.

Incentives: Having incentives helps associations meets the numbers and avoid attrition at their annual meetings. Have a member send an e-mail blast to all community members a day prior to the RSVP deadline offering a prize. The prize can be anything such as; a month free of their HOA fee, extra storage in a storage place, a gift or a free month of yard maintenance, truly anything. Make sure to state that the prize can only be won if you’re in attendance.

Marketing: Make sure that you’re entire community knows that there is a meeting coming up. Target the audience through many different mediums; email, newsletters, flyers, facebooks posts and events, word of mouth, etc. Get creative with your messaging, tell your community about incentives of coming to the meeting.

Notice:  Having the proper notice for an event is crucial to get a crowd, give a two to three month first notice followed up by a month of warning and a week of notice. This will give your residence time to be prepared and have it on their calendar. When giving the notices be sure to include what the incentives will be, this will help residents decide further in advanced if they are attending.

Members Involved: Have your members come prepared with questions, concerns, ideas or anything they feel is relevant to bring up during the meeting. Provide an agenda so they will know when their questions or comments are welcome and appropriate. When giving the notices’ of the meeting, encourage members to be ready with questions and give them a two or three minute speaking opportunity. To even encourage more involvement in the annual meeting assign roles to those who want to help out with the various tasks (food, drinks, announcing, set up and clean up).
